How to Leave a Voice Mail Message Effectively

In today's fast changing world, there are more and more methods which we can choose to convey our messages to people. Here are some common ways we use to communicate, such as post-it notes, text messages, emails, instant messages, voice mails, etc. As we know, business world is competitive and most of the business information is confidential. It is not proper for us to leave text messages or post-it notes to the recipients. Due to this reason, voice mail message has become more and more popular.

How can we convey our messages in a direct and concise manner? Here are some effective tips which you can apply if you want to leave your voice mail messages to people:

• First thing first, you are reminded to wait for the beep. You need to make sure that you don't start talking until you hear the sound that starts recording your messages. You must state your name clearly. Don't forget to state the date and time you are making the call. In order to get someone to return your call, it is a must for you to leave your contact number. It is indeed important to let the recipient to know who is calling, what time the call is made and how you can be contacted.

• Secondly, you should state the purpose of your call concisely. Don't be too long-winded and beat around the bush. You need to bear in mind that most of the recipients do not like long voice messages because it is hard for them to remember the points. You need to state the urgency if you need the recipients to return your calls immediately.

• After stating the purpose of your call, you are advised to provide a time for the recipients to reach you. You need to let them know how they can reach you too. If you can't take calls during meetings, you should inform the recipients to send you text messages or call you at certain time. Again, before you hang the phone, please be reminded to repeat your name and contact number.


When you are leaving voice mail messages, you should not miss out any important point. People will not respond to you if you don't state your full name, contact number and the purpose of calling clearly. You should have good telephone etiquette even you are just leaving voice messages to people.
